When looking for ways to reduce expenses for your wedding day, remember the first golden rule of wedding planning: Size matters for more than just the wedding night. Every single decision you make will be impacted by the number on your guest list. This single decision will determine the size of the venue you need, how many invitations you will send out, your catering bill, the size of the bar tab, and even how big of a wedding cake you will need. Everyone wants to share their special day with as many extended relatives as you can list, but just remember that there is a compounding trade-off for each additional person you add to the bottom line.
Significant savings can be achieved through location and timing. If you are blessed with a scenic park, waterfront, or even backyard then these can provide a beautiful backdrop for either the wedding or reception area. Any outdoor setting has to factor in the potential for inclement weather, so you will need to have a backup venue or some sort of cover available in the event there is rain. If you have a college in the area, then look into possible reception halls that are available for alumni or special events. These public properties are often available at a fraction of the price for a hotel reception area. If you prefer to stick with a more traditional venue then consider booking the date well in advance for the offseason months of September through November or January through April. Most reception areas will be willing to negotiate the price to ensure they are booked during the off-season months.
When considering wedding invitations, simple is always cheaper. Custom colored inks, embossing, decorated liners, ribbons, or multiple enclosures all add to the bottom line. Be sure that you weigh the invitation to determine if your selection will require additional postage. There are many online sites which provide free RSVP tracking which will save on both the additional enclosure and the return postage.
The same strategy applies to floral displays, simple is always cheaper. Keep in mind that picking seasonal flowers will save you money over expensive exotic imports. Cutting down on extra bouquets or trimmings is another way to keep your expenses in check.
When planning food and beverage for the reception, you will save money by booking them well in advance. By booking a date during off-season time periods and avoiding Saturday’s or special holidays like prom or Valentine’s Day, you will be able to negotiate better price. An afternoon meal will save you money over an evening meal. If you wish to avoid serving a meal altogether then schedule the reception during late afternoon when an offering of heavy hors d’oeuvres and cocktails would be appropriate. If you decide to offer a full meal, then consider either a Mexican or Italian themed buffet as a lower cost alternative. When providing either champagne or a full service bar, limit the timeframe and then commence a cash bar for the guests who wish to continue drinking. Another alternative is to offer free beer and soft drinks, but then provide a cash bar for anyone wishing to imbibe mixed drinks or something stronger.
If hiring additional services such as a photographer, limo driver, or entertainment then be sure to shop around and compare the options in your area. Give very clear expectations as to which photos are definite shots to capture and be up front that you want to emphasize quality over quantity. Ask the limo service whether it is cheaper to book two separate trips rather than have the limo parked outside during the entire reception.
